About the Company
We are partnering with a world-renowed vendor and system integrator who deliver large scale projects in rolling stock, turnkey systems and automation, globally. 
About the Role
Reporting to the team manager, whilst working closely with Project Managers, the aim of the Document Controller is to provide project document management ensuring compliance during project execution and delivery. You will ensure that all documents are consistently updated, reproducible, version/revision-controlled, and quality-assured throughout the entire project lifecycle whilst ahdering to organisational, procedural, and legal standards.
Key Responsibilities
  • Set up the project environment in the EDCS, including assigning responsibilities, creating folder structures, defining roles and rights, and setting storage/classification criteria, in collaboration with the SME and PM.
  • Create and maintain the project-specific document list, management plan and work instructions.
  • Ensure documents are created on schedule and assist in preparing, delivering, and exchanging documents to ensure project phases are completed on schedule.
  • Manage and distribute all controlled documents and formal correspondence, ensuring consistency and traceability.
  • Deliver contractually agreed customer documents to external parties and handle related correspondence.
  • Ensure correct versioning and revisioning of documents and assign document numbers for all project deliverables.
  • Perform quality checks on documents to meet project specifications.
  • Provide reports on deliverables/document lists and the EDMS system as needed.
  • Monitor the status of documents and scheduled dates for correspondence (comments, customer approvals).
  • Participate in project meetings, customer discussions, and visits as needed.
About You
  • Demonstrable experience in a similar position.
  • Expertise in Aconex, Teambinder, Sharepoint and other EDMS systems.
  • You thrive in a fast-paced environment.
  • Ability to manage multiple tasks, systems and procedures concurrently.
Job Type: Full-time, Contract. 
Term: Initially 6 months, with a possibility of extention and/or conversion to permanent basis.
Salary: Negotiable, based on experience level
Location: Docklands, VIC 3008
