Job description

The Business
AustCorp Executive is Partnering with a ASX listed Technology company who provide mobility solutions in the passenger and freight transportation sector.
  
In this role, you will support the Project Director and Commercial Project Director in managing the project internally within the company, with the consortium partners and with the customer and other key stakeholders.
  
The Role
  • Assist the Project Director and Commercial Project Director in their day-to-day activities
  • Manage the Project Director's calendar, schedule appointments, and coordinate meetings and travel arrangements.
  • Prepare and organize documents, presentations, and reports for internal and external meetings.
  • Schedule all relevant project meetings with designated internal and external personnel.
  • Participate in management meetings (both internal and external) to assist in their smooth running, recording of actions and follow up as appropriate.
  • On behalf of Project Director, collaborate with team members to gather information, track progress, and ensure project deadlines are met.
  • Prepare meeting agendas, minutes, and action items, following up on outstanding tasks as necessary.
  • Conduct other Office Manager responsibilities for site operations, providing support as needed.
  • Ensure compliance with health and safety regulations, security protocols, and organizational policies at the project site.
  • Support preparation of project-wide communications, bulletins, newsletters, and team updates.
  • Propose and organise team events and workshops.
  • Takes the initiative to identify inefficiencies and streamline processes to enhance productivity and support executive operations effectively.
  • Assist in general administration of the project office environment.
  • Handle confidential information with discretion and professionalism, always maintaining confidentiality.
  
The Requirements

  • Experience in a similar capacity within a large complex project environment.
  • Excellent communication skills, both written and verbal.
  • Solid knowledge of managing travel arrangements, travel claims, procurement, and compliance topics.
  • Strong computer skills, mainly in MS Office software (Word, Excel, PowerPoint).
  • Demonstrated leadership abilities, with preferred experience managing and mentoring administrative staff.
  • Ability to adapt to changing priorities and work independently with minimal supervision.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
