Job description
Project Administrator (Pathway to Project Manager) –
Cairns (Full-Time) Portsmith
About the Role
A well-established and growing construction / industrial projects business is seeking a capable Project Administrator to join their Operations team in Cairns.
This is not a standard admin-only role — it’s ideal for someone who wants to develop into a Trainee Project Manager / Junior Project Manager over time, with exposure across real project delivery activities, commercial processes, client communication and quality documentation.

Key Responsibilities
• Liaise with clients, suppliers and internal stakeholders to ensure documentation and deliverables are completed on schedule
• Project document control (incoming/outgoing), including construction programs, erection procedures, safety plans and site induction requirements
• Generate and maintain QA documentation such as MDRs, ITPs, material manifests and drawing/document registers
• Scan and upload workshop QA documentation into job folders
• Assist with procurement activities including requesting quotes and raising purchase orders
• Use MYOB Advanced for purchase orders, change orders, progress claims and variations
• Support progress claims and contract variations as directed by Project Managers
• Attend weekly project meetings and record minutes when required
• Work closely with supervisors and project teams to support project delivery
What We’re Looking For
Essential:
• Experience in a similar role within a building / construction environment
• Strong planning, coordination and time management skills
• Understanding of project and construction processes
• High-level communication skills and stakeholder coordination
• Current C Class Driver Licence
Highly Regarded:
• Tertiary qualifications (Engineering / Construction / Project Management or similar)
• Experience in steel fabrication and/or erection projects
• Confidence working across project systems, reporting and document controls
